Manage access, exports, and deletion
Choose the right control for removing access or removing data.
Identify the goal
Decide whether you need to remove a person’s access, archive an operational record, permanently remove data, or obtain a portable copy.
Remove access first when appropriate
If a collaborator should no longer use a workspace, update or remove their membership without deleting business records the workspace still needs.
Prefer recoverable cleanup
Use archive or recycle features for normal cleanup when historical context may still matter. Permanent deletion may be unavailable while related records exist.
Export only what is needed
An export creates another copy of the data. Limit its scope, destination, recipients, and retention period.
Use the privacy process
Account or legal privacy requests may cover more than individual delete buttons. Follow the maintained privacy and support process for those requests.
Verify the outcome
After changing access or data state, refresh the relevant workspace and confirm the person or record now has the intended visibility.
